1. Scope
This Privacy Policy explains how we protect the information you share through the RussianMICE website and B2B agency portal (the «Platform»). The Platform is operated by TRANSGOO TURİZM SEYAHAT TAŞIMACILIK İTHALAT İHRACAT TİCARET LİMİTED ŞİRKETİ, a limited liability company registered in Türkiye (the «Company», «we»). RussianMICE, Travel for MICE and Transgoo are brands operating under the Company.
The Platform is used for B2B communication with corporate clients and travel agencies about group accommodation, meetings, congresses and events in Türkiye. No online payments are taken, no card details are requested and no instant bookings are made on the Platform.
The purposes and legal grounds for processing, the recipients and the retention periods are described in detail in the «Personal Data Processing Notice».
2. Information you provide
- Corporate request form: full name, company, e-mail, optional phone, event type, description of your request and attached files (up to 5 files, up to 10 MB each).
- Travel agency application: agency name, country, city, contact person, business e-mail, phone, and optionally WhatsApp, Telegram, website and logo.
- B2B portal: profile and additional contact details, your requests, messages, actions on offers and documents you share.
- Airport transfer request: passenger name and number of passengers, optional passenger phone and WhatsApp number, flight and pick-up details, hotel / area, meeting sign details, notes and payment preference. Once the transfer is confirmed, driver and vehicle details and the transfer voucher are shared with the agency.
Please share only the information needed to review your request. Do not include special categories of personal data, such as health information, in request descriptions or files.
3. Agency applications and corporate requests
Agency applications are reviewed by the Company; they are not accepted automatically. Corporate and agency requests are also reviewed; the Company is not obliged to reply to or make an offer for every request. An unalterable copy of each submitted request is kept as evidence in case of a dispute.
4. Account security and your responsibility
- Your portal password is stored only as a one-way hash; nobody, including our staff, can see it.
- Account activation, password reset and e-mail change links are single-use and time-limited, and only their hashes are stored.
- Inactive sessions end after 2 hours.
- You are responsible for keeping your password confidential, not sharing it and logging out on shared devices. If you believe your account has been used without authorisation, tell us immediately.
- We will never ask for your password by e-mail or phone.
5. Access to personal data and authorisation
Only Company staff who need it for their work can access personal data, with permissions defined by their role. Agencies can see only their own application, requests, offers and documents. Corporate requesters access their request only through the secure link sent to them. Request attachments, offers, contracts and logos are stored in a non-public area; opening and downloading them is logged.
6. Sharing with service providers
We use hosting (server) and e-mail delivery services to run the Platform; these providers process data only on our instructions and to the extent the service requires. Once an offer is accepted and the service is confirmed, the information needed to deliver it is shared with the relevant suppliers (hotels, transfer, events). For airport transfers, once a transfer is confirmed, the information needed to carry it out is shared with the driver performing it. Your data is not sold and not shared for advertising. 7. Technical security measures
- All connections are encrypted (HTTPS).
- Forms are protected against forged requests; repeated failed log-in and form attempts are limited.
- Unauthorised access attempts are logged (kept for 14 days).
- The type and size of uploaded files are restricted.
- Significant actions in the administration panel are recorded in the activity history.
- No analytics, advertising or visitor-tracking tools are used on the website or portal; only strictly necessary technical cookies are used (see the «Cookie Policy»).
8. Retention and secure erasure
Your information is kept only as long as required by the purpose of processing and the applicable legislation. When the period ends, personal data is securely erased, destroyed or anonymised. The periods are listed in the Personal Data Processing Notice.
9. Your rights and requests
You can exercise your rights under KVKK Art. 11 in the ways described in «Personal Data Requests».
10. Changes and contact
This policy may be updated; the current version and effective date are published on this page. Where necessary, the Company notifies portal users of significant changes separately by e-mail to their registered addresses.
